Questionnaire Approval Procedure

We require a formal approval process for the questionnaire.

When the questionnaire is ready, we will give it to Karl Taylor, Ron Stouffer et al. for approval before it is released

Dear Karl, dear Ron,

We are making good progress with CMIP5 metadata questionnaire. We now have an alpha version in test within the development group and will release a beta version in the next weeks for all to test. Most of the controlled vocabulary for software and activity is ready and we found a clear community support (and excitement!) to achieve these standard metadata for CMIP5. The target date to be ready to deploy the questionnaire is mid September.

We now come to you as planned to see how to integrate this metadata collection process in the CMIP5 procedure. Our understanding is that you will be sending a letter inviting the modelling groups to join CMIP5. As suggested by Karl, we would like to propose that you add a couple of lines along the following points in the letter:

1) the Carrot: there will be a web questionnaire to describe the models and the experiments in detail using standard controlled vocabulary to document and ease search of the CMIP5 database (http:....). This questionnaire has being developed by the EU Metafor project in close collaboration with ESG and Curator and with significant inputs from a number of model experts. It represents a huge leap when compared to the equivalent model documentation in CMIP3. The metadata collected via this questionnaire will be available to all groups that wish to provide search tools for the community.

2) the Stick: the data will only be published in the CMIP5 database when the metadata is filled up and validated in the web questionnaire. We realise this is a new constraint but the benefits for the database documentation, exploration and use (especially for WG2 and WG3 of the IPCC) will be enormous. Metafor has also committed to provide support to modelling groups in filling it up and validating the entries of the questionnaire.

Let us know if you think this is the way forward. We can of course discuss the exact phrasing in due time but the goal here is to agree on the message.

Karl, Ron,

further to the email below, we also need to establish a formal approval procedure of the questionnaire by the CMIP panel. There are several ways to do this. One could be that you nominate a few expert reviewers that need to be happy before the questionnaire can be released.
